Announce a move & new business address – with a letter template

Your company is moving. So that mail, deliveries and invoices do not go astray after the move, all your contacts should know the new address in good time – and know from when it applies.

Here you get a ready-made template for the move announcement to customers, a variant for suppliers, and the points you should not forget when changing your address.

CHECKLIST

What belongs in the move announcement

A good move announcement makes clear in two sentences where to and from when. These details belong in it:

  • Old and new address, clearly side by side
  • The effective date from which the new address applies
  • Whether phone, email or bank details change too – or everything stays the same
  • What recipients should do: send future mail, deliveries and invoices to the new address
  • A note that contacts and terms remain unchanged
  • A contact person for questions

Template: announce a move to customers

Subject: We are moving – our new address from [date]

Dear Sir or Madam,

we are pleased to let you know: [company name] is moving. From [date],
you can reach us at our new address:

[new street and number]
[postcode, town]

Nothing changes about our work together: your contacts, our services and
all terms remain unchanged. You can also reach us by phone and email as
usual.
[If changed: please note our new phone number […].]

We ask that you send future mail, deliveries and invoices to the new
address from [date].

If you have any questions, we are here for you as usual – on [phone] or
at [email]. We look forward to serving you from our new location soon.

Kind regards
[name]
[position], [company name]

Variant: for suppliers & business partners

For suppliers, what counts most is that deliveries and invoices are correctly addressed from the effective date. Put these details up front:

Please update our address details as of [date]:
- New delivery and billing address: [new address]
- Phone / email: [unchanged / new]
- Bank details: [unchanged / new]

Please send any consignments and invoices issued after [date]
exclusively to the new address.
TIPS

Common mistakes

  • No clear effective date. “Soon” helps no one – give the exact date from which the new address applies.
  • Only the address, nothing else. Say explicitly whether phone, email and bank details stay the same – otherwise you get queries.
  • Informing too late. Send the announcement a few weeks in advance so recipients can update their systems in good time.
  • Forgetting website and imprint. An outdated address in the imprint can lead to a formal warning – switch it over too.

FAQ

Frequently asked questions

Do I have to tell customers about my move?

There is usually no legal obligation, but it is strongly recommended: without the new address, mail, deliveries and invoices go to the old location. You should also update the imprint and privacy policy on your website.

How much lead time should the move announcement have?

Ideally a few weeks before the move, at the latest on the effective date. That way customers and suppliers can change your address in their systems in good time.

What happens to mail sent to the old address?

Additionally set up a mail forwarding order with the postal service. That way mail that still goes to the old address despite your announcement continues to reach you.

Do I only need to change the address or more?

That is up to you – what matters is saying it clearly. If phone, email and bank details stay the same, write that explicitly. If any of them change too, list the new details.
