Announce a change of ownership – a letter template for customers & partners
A business is handed over or taken on – through a sale, succession or generational change. For customers and partners this is sensitive news: they immediately wonder whether everything will stay as they know it.
With this template you communicate the change of ownership in a way that preserves trust: you put continuity front and centre, name the essentials, and avoid uncertainty.
What belongs in the announcement
With a change of ownership, reassurance matters most. These points belong in it:
- Who is handing over to whom – and from what date
- The central message: what stays the same (team, contacts, services, quality)
- What changes – if anything at all (e.g. company name, bank details)
- An appreciative word from the previous owner (thanks, trust)
- A short, likeable appearance by the new owner
- A contact person for questions
Template: announce a change of ownership to customers
Subject: [company name] in new hands – your familiar support stays
Dear Sir or Madam,
after [number] years, I am handing [company name] into new hands as of
[date]: [first name last name] is taking over the leadership and will
continue the company in my spirit.
For you as a customer, nothing changes about what you value: your
familiar team, your contacts and the quality of our services remain
unchanged.
[If applicable: the company name and your terms also remain. / Note about
changed details, e.g. bank details.]
I thank you sincerely for your trust over all these years. In [first
name] I am handing over to someone who shares our values – and who looks
forward to continuing to serve you well.
If you have any questions, we are here for you as usual: [phone] or
[email].
Kind regards
[previous owner] and [new owner]
[company name] Common mistakes
- Presenting the change as a break. Put continuity up front – what stays is more important than what changes.
- Leaving the new owner anonymous. A short, personal appearance builds trust; a nameless “new management” unsettles people.
- Leaving contract questions open. If contracts are affected, clarify it legally in advance and communicate clearly what customers need to do (usually: nothing).
- Informing too late. Better to be timely and do it yourself, before rumours or the commercial register get there first.

Frequently asked questions
Do I have to tell my customers about a change of ownership?
Individual notification is usually not mandatory, but highly advisable: otherwise customers learn of the change via the commercial register or third parties. A proactive, trustworthy announcement preserves the relationship.
Do existing contracts remain valid after a change of ownership?
That depends on the type of change. With a share deal, the company stays legally the same and contracts continue. With a takeover by a new legal entity, a contract transfer may be necessary. Have it checked legally in each individual case.
Should both owners sign?
Yes, if possible. A joint message from the previous and new owner comes across as most trustworthy: one gives thanks and hands over, the other introduces themselves.
How much personal detail belongs in it?
An appreciative thank-you from the previous owner and a likeable first impression from the new owner are exactly right. Internal details about the sale or about figures do not belong in the customer announcement.
