What matters in the announcement

A good name-change announcement answers three questions in the first two sentences: what is changing, from when, and what does it mean for me as the recipient? These points belong in it:

  • The effective date from which the new name applies
  • What stays the same – contacts, services, terms, contracts (the most important message)
  • What recipients should do – e.g. address future invoices to the new name

Common mistakes

  • Too much drama, too little clarity. The recipient wants to know in 10 seconds whether they need to do anything. Put the “nothing changes” message up front.
  • Forgetting the effective date. Without a date, the recipient’s accounting team does not know from when to use the new name.
  • Unclear formal details. “Everything stays the same” and then a new registration number in the small print – that triggers questions. Better to list it explicitly.

Do I have to tell my customers about a company name change?

There is usually no legal obligation to notify each customer individually – but it is strongly recommended: your customers need the correct name for invoices, contracts and their accounting. Without the information, you get queries and wrongly addressed documents.

Do existing contracts remain valid after a name change?

With a pure name change, the company stays legally the same – only the name changes. Existing contracts continue unchanged. With a change of legal form or ownership it can be different – when in doubt, have it checked legally.

When should I send the announcement?

Ideally shortly before or on the effective date of the name change, so recipients can record the new name in their systems in good time.

How do I tell suppliers differently from customers?
