A prospect has spoken with your initial contact team about a gas tariff, and a colleague will provide the next explanation. Pass on the question that needs answering

Separate information by its status

- Added during the conversation: Record necessary new information with its date and context, such as a statement about a future supply location.
- Still to do: Name the outstanding question, responsible colleague and agreed next contact.
For a move in particular, information about the previous and future situations must remain distinguishable. Record a stated timetable as the prospect’s preference. It confirms neither a particular supply start nor completed processing.
Turn forwarding into an accepted task
Example: The person wants to discuss how your offer is presented but does not have the document available. The contact team has agreed to identify the exact version during the next conversation. The tariff adviser takes over and first checks which version your business has already provided.
The note could read: “Question about offer presentation; version still to be identified; colleague owns the agreed callback.” It should not read “price comparison completed”. This preserves what actually happened and the preparation now required.
Confirm ownership internally and end parallel handling by the previous contact. If the person gets in touch meanwhile, add the new information before the next planned call. Discuss repeatedly missing details within the team rather than blindly asking the same question again.
