Prepare the current quote and your notes for the agreed conversation. Use these four questions to identify the unresolved issue:

  • Price or scope? Is the concern the available budget or a cheaper competing quote? Establish which items are being compared, such as storage, installation, scaffolding or electrical work. Explain your scope before considering a discount.
  • Storage or EV charging still undecided? Which benefit matters to the customer, and which option needs explaining? Have your technical team check the necessary information and system design before preparing a revised quote.
  • An unresolved roof question? Is a professional assessment missing, perhaps because roof renovation is planned? Record who will clarify what. Another price sheet offers little help while this prerequisite for the project decision remains unresolved.
  • Timing or a shared decision? Is the customer waiting to discuss the project with their household or complete another project step? Clarify who should be involved and which milestone would make another conversation useful.

Record a concrete outcome from the conversation

For each open quote, record its version, the outstanding decision, required information, a responsible person and the agreed date or milestone.

If no reply arrives, record the situation as unresolved. Respect agreed contact preferences. Close the case after a rejection; for a requested pause, record the milestone for a possible return to the discussion.

Plan the week around promised next steps

Review open quotes with sales. Their number alone does not show the workload. Give each case a clear status:

  • Your business needs to act: Check information, explain the scope or prepare the agreed revision.
  • An agreed milestone is pending: Record what you are waiting for and when to review progress internally.
  • The project has ended: Briefly record the reason given and remove the case from active quote work.
