Hand over car insurance enquiries without losing the context
Help your insurance team preserve the latest reason for an enquiry, outstanding questions and agreed callbacks when a colleague takes over.
When a colleague takes over in your insurance office, a car insurance prospect should not have to explain their enquiry again. During busy periods, circumstances can change between the initial enquiry, first conversation and offer. A short handover with the current reason and clear ownership helps the next conversation move forward.

Update the reason after the first conversation
A webRichtung enquiry includes vehicle type, desired cover and reason for enquiring, plus registration location and contact details in Germany. Your own record develops after the first conversation: what does the prospect want to discuss now, and which question remains open?
For example, the original enquiry mentioned an additional vehicle. During the conversation, the prospect explains that the purchase has been postponed and she first wants to discuss her existing policy. The covering colleague should therefore not prepare a callback about the new vehicle. Record the change with a date and the next agreed topic. Assumptions about a later purchase should not describe the current task.
Write a handover someone can act on
A list of every attempted contact is less helpful than a short account of the latest confirmed position. Start with four points for the handover:
- Current reason: which vehicle and concern are now central?
- Open question: what exactly should the next conversation clarify?
- Preparation: what has your office promised, and what did the prospect agree to provide?
- Ownership: who will prepare and conduct the next contact?
For instance: “Comparison for existing car; question about the discussed offer version still open; documents requested on Tuesday; Friday callback agreed with Ms Berger.” The colleague can first check whether the documents have arrived. They need neither request everything again nor infer a decision from an old note.
Organise seasonal cover without duplicate approaches
The person handing over records which tasks remain with them. The person taking over confirms which callback they accept. Once ownership is clear, the previous adviser should not plan an additional contact about the same subject.
Before calling, check the latest conversation entry and the offer version used. A question already answered needs no second enquiry. If two notes conflict, first clarify their dates and references internally; ask the prospect only about what remains genuinely unclear.
A useful opening is: “My colleague recorded your request about the existing vehicle and your outstanding question about the offer. That is where I would like to pick up today.” Do not announce a specialist answer that has not yet been prepared. The covering colleague also records what was answered and which next step was actually agreed.
Connect new enquiries with ongoing conversations
Plan new car insurance conversations alongside the cases being handed over. If many callbacks or offer questions are outstanding, their handling time counts towards capacity. Discuss cases with the team especially where the next contact has already been promised.
For additional enquiries, register with webRichtung and set up your order in webRichtung Customer. Choose your area in Germany, delivery type and monthly cap; the current price is visible before ordering. This connects purchasing with the conversations your team can actually continue.
Frequently asked questions
What matters most in the handover?
The current reason for the enquiry from the latest conversation. A planned vehicle purchase may have become a comparison for the existing car. Keep the original information as context, but identify the confirmed update.
Should cover staff request missing information again?
First check what has already been requested and which replies have arrived. Ask only for information still needed for the agreed next step, explaining its purpose.
What happens to an agreed callback?
Transfer its time, purpose and ownership. If the colleague cannot take it on, agree a change with the prospective customer.
How do I plan new leads during holiday cover?
Allow for outstanding callbacks and offer preparation alongside new conversations. The monthly cap in webRichtung Customer limits regular deliveries; it does not organise staff cover.
