After a tour, families often only realise at home which questions remain unanswered. This gives your care home an opportunity to continue the introduction usefully. A prepared callback builds on their impressions and helps your admissions team provide the next relevant information.

Turn an impression into a specific question

Divide follow-up questions into three workable groups

  • Already explained but still unclear: explain the relevant point again in relation to the specific question.

  • Personal specialist question: arrange for the responsible professional to address it.

In this example, admissions staff can explain how to raise questions with the home. If a personal care question remains open, it receives its own owner. An answer about the contact process does not automatically resolve that question.

Reference the visit discussed and the information actually used in your note. If something has changed since then, check the current position before replying. A memory of the tour is not a reliable substitute.

Agree the participants and purpose of the next exchange

Several relatives can experience the same visit differently. Do not summarise every comment as the family’s shared view. Ask who wants to discuss the outstanding point and how the prospective resident would like to be involved.

Perhaps a son missed the first visit and also wants to get to know the home. Clarify whether another tour is wanted or a conversation about one particular question would suffice. The next appointment then has a purpose of its own rather than merely repeating the first visit.

At the end, record which information your home will provide and whether another contact was agreed. If the family first wants space to reflect, respect that position. A favourable impression is not yet an admission decision.
