Invitation to a company event – template & sample

Whether an open day, summer party, product launch or customer evening: a company event stands or falls with the invitation. It has to spark curiosity – and at the same time deliver all the key details so guests actually come.

Here you will find a template for internal invitations to the team and a representative variant for customers and business partners – plus the checklist for an invitation that gets accepted.

CHECKLIST

What belongs in the invitation

A strong event invitation answers the what, when, where and why at a glance:

  • The occasion and the benefit: what awaits the guests, why is it worth it?
  • Date and time (start and, if applicable, end)
  • Venue with address and directions
  • The programme or highlights in brief
  • RSVP: by when, to whom, and whether with a guest
  • A contact person for questions

Template: internal invitation to the team

Subject: Invitation: [occasion] on [date]

Dear team,

we warmly invite you to [occasion / event]:

📅 [weekday, date]
🕖 [time from – to]
📍 [venue, address]

You can expect [highlight 1], [highlight 2] and [catering / programme].
[Short line on the purpose: We want to … / The occasion is …]

Please let [name] know by [date] whether you will be there
[– and whether you are bringing a guest].

We look forward to seeing you!

Warm regards
[name]
[company name]

Variant: for customers & business partners

For external guests you emphasize the benefit and phrase it formally and representatively:

Subject: A personal invitation: [occasion] on [date]

Dear [title last name],

we warmly invite you to [occasion / event]. You can expect [central
benefit / highlight] – a good opportunity to [gain insight / exchange
ideas / talk].

When: [weekday, date], [time]
Where: [venue, address]
Programme: [in brief]

We would be delighted to receive your acceptance by [date] to [name /
email].
[You are welcome to bring a guest.]

Kind regards
[name]
[position], [company name]
TIPS

Common mistakes

  • Programme instead of benefit. An agenda alone is not convincing – first say what the guests get out of it.
  • Hiding the key details. Date, time and venue belong clearly and at a glance, not buried in running text.
  • No RSVP deadline. Without an RSVP date and a contact person, you cannot plan.
  • The same invitation for everyone. The team and external guests have different expectations – use the right versions.

FAQ

Frequently asked questions

How do I make an event invitation attractive?

Put the benefit for the guests up front – what they will experience, learn or gain. Concrete highlights and an inviting opening line work better than a plain list of the programme.

Do I need separate invitations for internal and external?

Usually yes. You address the team in a more relaxed and direct way, and external guests more formally and representatively. The two templates above cover both cases.

How much lead time does a company event need?

Several weeks, depending on the effort involved. For larger or external events, invite earlier and, if needed, send a reminder shortly beforehand.
