A window quote through a property manager: Who will be your customer?

Identify the intended customer for your window quote in Germany. Distinguish the contact, owners’ community and representative role before order confirmation.

A property management company asks your window business for a quote for a residential building in Germany. You have discussed the proposed specification. Now the office needs to finish the documents. The contact record names the management company, while the conversation mentions a community of apartment owners. Who should you record as the intended contracting customer? An email signature alone provides a poor answer to that question.

A clear quote heading helps sales prepare the next customer decision. It identifies the party to whom you offer the work and the person acting as contact. This article addresses that step for an already described window specification. It follows an invented case and distinguishes the contact, the intended contracting party and the representative’s role. This organisation does not provide an individual assessment of authority, resolutions or contractual validity. It gives your team a specific question before an unclear contact becomes an order.

Ask for the intended contracting party by name

First ask in whose name the work is being requested and would be ordered. One possible wording is: “Should our quote go to the named owners’ community, which you represent as manager, or does your company intend to become the customer itself?” Adapt that question to the actual discussion. You are asking for information your quote needs, rather than assuming a particular role or an additional service from the manager.

Record the reply using the actual party’s name. “Through the property manager” describes a contact route without clearly identifying the intended contracting customer. The building address alone is also insufficient for that purpose. Your team should recognise whether the quote is intended for a community, a management company or another expressly named person. Where several names appear in the correspondence, show the particular passage and clarify that discrepancy.

If the answer remains open, identify the next question. You can retain the prepared specification while clarifying the addressee. The entire window project does not need another technical survey for that reason. The person responsible commercially decides which document can be issued at the current stage and which identification is missing first. A new name in the heading should follow a clarified statement, rather than an assumption made by the person completing the template.

Distinguish the owners’ community from its management company

Under section 9a of Germany’s WEG, the community of apartment owners can acquire rights and enter into obligations. The German legal term is Gemeinschaft der Wohnungseigentümer, often abbreviated GdWE. It is distinct from the company managing it. If that community is intended to be the contracting customer, your records should identify it accordingly. Clarify its precise designation and the identification of the common property with your contact.

Section 9b WEG governs representation of the community. The manager represents it in and out of court; the provision also addresses particular cases and representation without a manager. Do not turn this into a blanket statement about every person sending a message from a management office. Record the named party for which the contact intends to act and the role they state. A specific uncertainty about representation needs qualified clarification rather than a guarantee of validity from your office.

Use the clarified name consistently afterwards. A quote addressed to the community and a covering explanation naming the management company as purchaser create avoidable questions. Review those passages together. The actual window item can remain unchanged. You are improving the identification of the customer for an existing offer, without introducing different products, quantities or installation work.

Keep internal WEG responsibilities separate from external representation

The owners’ meeting may come up while discussing the documents. Section 27 WEG describes the manager’s internal duties and powers. Section 9b concerns external representation and states that restrictions on its scope are ineffective against third parties. Sales should keep these two levels distinct. An internal question is not resolved simply by entering a name in a quote heading.

Avoid saying that every window job always requires a new resolution or that a document you request conclusively determines the representative’s authority. Ask about the actual position where relevant to the next discussion. Record customer information as customer information. “Manager reports that internal coordination is ongoing” describes something different from your business making its own statement about the legal permissibility of a later order.

A clearly identified contracting customer is also separate from technical approval to carry out the work. The described service, the actual order and work preparation retain their respective steps. If something specifically conflicts, pass that question to the responsible person. Sales can help by identifying the offer correctly and organising the necessary clarification, while leaving the community’s internal administration with those responsible for it.

Prepare the quote heading from the clarified details

Enter the confirmed party designation and corresponding property reference in your existing quote template. Keep the named contact in their own place. Where the manager acts for the community, make that stated representative role understandable. This requires neither a new programme nor another intake route. The existing template should show the actual relationship and help your team recognise it at the next contact.

Check whether an earlier draft still names another addressee. Retain it traceably and identify the new version. Refer to the relevant document when continuing the discussion. Correcting the addressee should not quietly become a change in the window specification. If products and services remain the same, explain exactly that using the existing items.

Ask the contact for a specific reply if the designation does not match the intended order. The aim is a shared, understandable basis. It is not to obtain a general declaration supposedly settling every possible legal issue. Your commercially responsible team determines how to incorporate the confirmation actually required into its existing procedure.

Follow an invented case through to the next quote

In this hypothetical case, a contact from “Management A” requests a window quote for “Building A”. Both names are placeholders. For this case only, assume that the specification has already been described technically. An earlier draft names the management company because the office copied its signature. The conversation does not yet make clear whether the company wants to order itself or is acting for an owners’ community.

The employee asks who the intended contracting customer is. In our example, the contact explains that the quote is for the specifically identified Gemeinschaft der Wohnungseigentümer and that the management company acts for it. The office records that statement with its actual context. A responsible person checks the designation against the documents available for that purpose. The real quote then uses the appropriate details; “Building A” alone would not provide a sufficiently precise designation.

The window business issues the next version to the named community and records the manager as contact with the representative role stated. The specification remains unchanged. During the accompanying discussion, the employee explains that the addressee now matches the party named. They do not claim to have examined an owners’ meeting or suggest that answering the question already placed an installation order. The immediate result is a quote with a clearly identified intended customer.

If instead the management company expressly wanted to order in its own name, that would be a different actual position. The office would pass that statement to the commercially responsible person and clarify the intended identification. It would not automatically substitute the community merely because the building involves a WEG. Both paths illustrate the same decision: the quote follows the clarified intended contracting party, rather than the sender’s name alone.

Relate a later order statement to the same party

After the quote, a short message may arrive: “We would like to order this.” Compare it with the intended quote version and the party named there. Ask specifically about any discrepancy instead of interpreting “we” yourself. This is particularly useful when several management employees work on the same window project. Your handling should have an identifiable statement as its basis.

Section 164 of the German Civil Code describes the effect of a statement made in a represented party’s name. It also considers the circumstances from which acting in that name can follow. Your office therefore does not determine an individual contract’s validity using a single magic phrase. It makes the quote, party designation and stated representative role understandable together. A legally unclear individual statement needs the appropriate qualified assessment.

After clarification, record the actual result. Asking about the party does not complete the order assessment. Receiving an understandable answer does not mean your business has confirmed work scheduling. Continue to the next step under your real procedure. The customer should be able to understand which statement has been processed and what you may still need to discuss together.

Keep a payment request separate from a change of customer

A further contact may ask you to send documents somewhere specific or organise payment differently. Record what is actually requested. Ask whether only the delivery route or handling is to change, or whether a different person is intended to become the customer. A request concerning document delivery should not quietly alter the quote’s addressee.

Pass questions about specific invoicing or payment arrangements to the commercially responsible person. This article prescribes neither a tax obligation nor a contractual model for them. Your team should avoid merging different requests into one name field. The intended contracting party, the contact and any expressly named additional recipient should have an understandable connection to their respective purposes.

If the intended party really changes, handle that as a separate change. Explain which version is being assessed and who will provide the necessary reply. An additional email address alone does not replace this clarification. Equally, a simple delivery request need not become a completely new window project. The specification and its commercial identification remain connected within the same case.

Open the existing record when the management contact changes

If the contact changes during processing, review the last discussed quote with its existing party designation. Ask in which role the new person takes over. A new contact is a reason for a useful handover. Your office should neither automatically create a new contracting customer nor assume that every previous statement now applies to another person or company.

Record the actual change. Is it another employee at the same management company or a different management business? What information about future contact has actually been provided? If the community remains named as the intended party, keep that connection visible. The legal significance of an individual change can be assessed separately where necessary. This article promises neither automatic transfer of a contract nor continuing authority in every case.

A colleague covering the case therefore needs the latest clarified identification and the outstanding question. A short note about the new contact is more useful than a second quote file disconnected from the first. Retain the same window description until a different service is genuinely requested or assessed. Your team can then answer the commercial question without accidentally reopening technical decisions.

Base a handover note on the actual outcome

For our invented case, an internal note might read: “Window specification unchanged in the named version. Quote intended for the specifically identified GdWE; Management A states that it acts as manager. Party designation checked, contact recorded separately. New quote version linked; no work scheduling confirmed yet.” Add the actual documents and real processing status. This note is a working suggestion for your existing records.

Also record who handles an outstanding question. “Clarified with management” tells a colleague little if it concerned only a mailing address. A specific identification lets them prepare precisely the reply still needed. The value lies in an understandable quote and a customer relationship that can be continued, rather than a long collection of precautionary information.

Handle new window contacts with clear responsibilities

The German-language webRichtung window offer describes contacts with people looking for new windows. Dimensions, material, quantity and installation scope are clarified personally. It does not promise verified WEG customer status, checked representative authority or a completed contractual basis as additional delivered attributes. You develop your own quote process from the information actually supplied and the subsequent discussion.

Agree who records the intended contracting party and who assesses unclear commercial questions. Not every employee needs to explain German condominium law. They need an appropriate question and an identifiable responsible colleague. With that preparation, your business can develop a contact into a clearly addressed quote and explain the next decision the prospect can discuss with you.

Review new window enquiries for your prepared sales team

You can review the German-language window offer and create your access. That German page describes area selection, standard or exclusive delivery and a monthly limit. The current price is shown before ordering. The limit does not guarantee delivery volume. After industry approval, matching enquiries can be delivered when the order is eligible for delivery and sufficient credit is available.

Your business handles personal advice and its own quote. Clear handling of contacts and intended contracting customers helps you continue that work understandably. Review the actual German-language purchasing route and identify who in your team will handle new window conversations and their associated commercial questions.
