Tank removal: hand the site visit over clearly for quoting

Prepare a usable handover for your quoting team after a tank site visit. Connect the customer’s aim, site records and outstanding questions.

The tank removal site visit is finished and a colleague in the office takes over quoting. To carry the removal request forward correctly, they need more than photos and “write quote”. For your specialist business serving Germany, a short handover explains the position actually reached and prepares a focused next question.

Keep the customer’s aim with the site record

Begin with the result the operator wants from removing their stationary heating oil or diesel tank. Also record whether this aim changed during the visit. An initially general disposal request may become a more precisely defined project on site.

Then connect the site record to that aim. Which tank and which areas were examined? Which question did the responsible person answer? Give a photo a brief description of its relevance so the quoting team does not have to decide what it is meant to show or establish.

Structure the handover in four clearly named parts:

  • Customer’s aim: the result actually discussed.
  • Site record: the information documented during the visit.
  • Assessment: the specialist evaluation already available.
  • Open task: the missing answer and responsible person.

Do not compress an observation into a promise

Example: Your colleague discussed the intended removal route for a basement tank. The notes contain a photo of the outside door. They also include an open question about a section in between. The office colleague therefore recognises that the photo alone does not mean the whole route has been finally assessed.

They return that specific gap to the site colleague rather than writing “access clarified” generally in the quote. The colleague adds which part was assessed and what information is missing. The technical statement stays with the person able to make it, and the office gains a usable quoting position.

The same applies to timing. If the owner merely mentioned a heating conversion date, it appears as a customer statement in the handover. The person handling further coordination is named alongside. Copying a preferred date into quote notes does not make it a confirmed condition.

Read the quote against the handover

Before sending the quote, compare its service description with the current note. Are the requested removal, professionally described service and open arrangements recognisable? Any newly added item gets its own clarified connection to the customer’s aim.

Agree a specific response for remaining questions. The operator should know whether the next reply explains scope or planning. Your team can then take over without unnecessarily repeating conversations already held.

Frequently asked questions

What belongs in the handover alongside photos?

A clear connection to the tank, the customer’s discussed aim and the question the image explains. Record which specialist assessment exists and which is missing.

What should I do with contradictory notes?

Ask the person who attended the site visit to clarify the intended position. Do not copy the more convenient statement into the quote without checking.

Can quoting continue with timing still open?

Your team assesses which parts can already be described. Record the timing dependency separately and agree the next quoting and planning steps with the customer.
