Pension insurance enquiries: prepare a focused advisory appointment
Clarify the retirement question, agree useful documents and include preparation in acquisition costs. A complete appointment example avoids preselecting products.
A prepared retirement appointment gives your advisory business more than another name in the diary. The prospective client understands which question will be discussed, which documents can help and what they should be able to understand better afterwards. Your team can use its time for a specific conversation. Initial contact therefore needs to turn a broad retirement interest into a shared purpose. Selecting a product in advance is not necessary for that progress.
For brokers and retirement advisers, business value develops when suitable enquiries become prepared conversations and the effort involved remains visible. An apparently full diary can otherwise create considerable work without enabling a sound next decision. This article sets out a complete preparation process and a hypothetical time calculation. It addresses the advisory business and provides no individual financial recommendation to enter, replace or cancel a contract.
Establish the reason behind the retirement enquiry
Read the person’s objective alongside their decision stage. Somebody seeking to understand an existing policy needs a different opening from somebody starting additional provision. First ask: “What prompted you to look at this now?” The answer may identify a question about existing information, changed plans or a need for orientation. It gives the appointment a reason and prevents an unrelated presentation of products. Your own specialist knowledge can then address a question the person actually recognises.
The webRichtung offer page identifies type of provision, personal objective, decision stage, location and contact details as supplied information. Existing contracts are not uploaded through the form; it records whether documents are available. This is described on the pension insurance page. An indication that documents exist therefore does not mean your adviser already has them or knows their contents.
Also check whether the topic falls within your actual service. Company pensions, private arrangements and reviewing an existing policy may belong to different colleagues. Early allocation helps the appropriate person take the conversation. Your proposed follow-up questions are part of your own preparation, not additional lead fields or a completed needs assessment performed by the delivery service. The enquiries discussed here concern people in Germany, whatever language your team uses.

Agree an appointment purpose without choosing a product
Translate the reason into an outcome that an appointment can genuinely provide. For an existing arrangement, organising the available information and identifying questions for further review is a useful purpose. Promising to select the right new policy today would be premature while needs and documents remain unclear. A concrete purpose demonstrates the work your advice offers without asserting its conclusion before personal assessment has taken place.
Ask how the person would recognise a helpful appointment. Do they want to understand language in a letter, put existing proposals on a common basis or organise what they need to find out? Record the answer as closely as practical to their own words. Afterwards, you can check whether the conversation helped. The wording does not need to be polished; it must identify the same next decision for both adviser and prospective client.
Use the chosen topic as an opening, rather than as an automatic preference for one product. Even a specific request for a proposal can leave comparison questions unresolved. If the first call shows that orientation is needed, agree precisely that. Realistic preparation can help build trust because the person understands why information is requested and which issue comes next. Product decisions follow the actual advice rather than preceding it.
Prepare documents according to their purpose
Derive preparation from the agreed objective. Reviewing an existing arrangement may involve the relevant contract, recent correspondence and the particular passage the person finds unclear. Comparing existing proposals requires the proposals and the information on which they were based. The responsible adviser determines what is needed in the individual case. A blanket request for all financial records makes starting harder and leaves the purpose of the request obscure.
Explain how each requested document will be used. Asking somebody to have the letter that prompted their question ready is clearer than sending an unexplained document inventory. Ask whether they can find it or need help identifying the relevant material. The first contact should not require a perfect private data room. The aim is a sufficient basis for the agreed conversation step, rather than completeness without a recognisable benefit.
Agree the transfer method through your business’s existing procedures. Also establish whether documents will be examined beforehand or together during the appointment, because that changes the time required. If prior review is necessary, identify a realistic deadline and the person responsible for receipt. Login credentials for personal accounts do not belong in this preparation. Your team needs the agreed information, not unrestricted access to somebody’s private systems.
Make booking a shared preparation agreement
A useful booking states the reason, purpose, duration, participants, location or conversation format actually offered, and agreed documents. Add what next step the appointment is expected to enable. This gives direction and helps the adviser structure time appropriately. An empty diary slot says little about whether the necessary preparation exists. Check both before treating the appointment internally as fully prepared.
Where several people will attend, clarify their contribution. The prospective client may wish to bring somebody they trust for support. Do not infer shared decision-making authority from that choice. Agree who will discuss the relevant issues and which information is needed in that setting. Preparation remains personal and focused instead of generating misunderstandings from unclear roles. It also helps the adviser understand who should receive explanations during the conversation.
Missing documents do not automatically require cancellation. Check what can still be addressed usefully. Initial orientation may remain valuable while a particular comparison has to wait. Explain the appointment’s revised purpose and which conclusions require later work. The reserved time then stays useful without substituting assumptions for absent information. Both parties can decide knowingly whether the narrower conversation is worth keeping.
Prepare a complete retirement conversation
This example is fictional and contains no recommendation about a real person’s finances. A prospective client in Germany selects an existing arrangement and understanding a contract, indicating that documents are available. The adviser starts by asking what she wants to understand about it. She explains that she received a recent statement and wants to relate its information to the original contract. No wish to replace the arrangement is inferred from this question.
The adviser summarises the purpose: “We will first establish which contractual basis the statement refers to and which questions remain.” For that purpose, he asks for the relevant contract and current statement insofar as they are available and necessary. They agree the transfer method already used by the business. She will also mark the passage that particularly concerns her. These are suggested preparation steps in the example, not features supplied with the lead.
They book a 45-minute conversation for Thursday. Internally, the adviser reserves 15 minutes to review the material and 15 minutes afterwards for notes and further coordination. The prepared appointment therefore requires 75 minutes. Its record defines the desired outcome as putting the documents in context and identifying remaining questions clearly. It contains neither a product choice nor a planned policy replacement.
Before the appointment, only the statement arrives; the associated contract is missing. The adviser reviews the scope of the conversation. The prospective client wants to keep it to organise her questions about the letter first. They agree that narrower purpose. Any assessment requiring the missing contractual basis moves to a later stage. The outstanding document is recorded with an owner and intended follow-up, rather than quietly being treated as unnecessary.
At the appointment, the adviser first confirms that the agreed issue remains the most important one. They then discuss the available information and separate open matters: what can be explained from the statement, what needs the contract and which additional question arose during the conversation? She receives a comprehensible outcome even though no final product decision is made. That clarity is the appointment’s specific benefit and gives the following work a defined purpose.
They finish by agreeing that she will supply the contract through the discussed route and the adviser will then identify the next appropriate professional step. Internally, the case reads “document outstanding, further review agreed”. It is counted neither as a lost contact nor a certain sale. The process is complete because reason, preparation and conversation produce a clear continuation. Its result remains open until the required information has actually been reviewed.
Include advice time in the acquisition budget
Preparation forms part of customer acquisition for your business. Include contact attempts, initial conversations, document review, advice and associated follow-up. If the owner does the work personally, it does not disappear from the calculation. Use a defensible internal cost rate suited to the team being considered. The selling price of an advisory service is not automatically the right basis for measuring internal costs.
For a hypothetical planning calculation, assume twelve new enquiries. Initial handling takes 20 minutes per enquiry: twelve times 20 equals 240 minutes, or four hours. In the imagined outcome, six prepared appointments result. Each uses the 75 minutes for preparation, conversation and follow-up, totalling 450 minutes or 7.5 hours. Combined effort is 690 minutes, which is 11.5 hours. Further contract examination at a later stage is not included in this bounded scenario.
At an equally hypothetical internal rate of 60 euros per hour, handling costs amount to 690 euros. Enquiry purchasing costs are additional. Whatever their actual total, add it to the 690 euros; this example deliberately sets no product price. Dividing the combined amount by six gives the acquisition cost considered here per prepared appointment. It does not give cost per new customer, because six appointments are not six completed sales.
Distinguish preparation progress from business results
A prepared appointment is a useful intermediate stage. It shows that contact, purpose and information have come together. Assess the business result later using the relationship that actually develops and the revenue contribution and effort genuinely attributable to it. Avoid classifying open cases prematurely as successes or failures. If several conversations are needed, keep them associated with the same enquiry so the whole journey remains traceable.
Your overview might distinguish a new contact, first conversation completed, preparation outstanding, appointment held and next step agreed. These states should prompt action. Where many documents are missing, examine whether your request is clear. Where many people remain unreached, organise manageable contact time first. More enquiries do not fix unclear preparation or missing advisory hours. The finding determines which work should precede expansion.
Do not compare different reasons for contact without considering their context. Initial orientation may require different work from comparing existing proposals. That is not a blanket judgement of the person’s value. It shows the advisory service you want to provide and how it fits your business planning. Use assessed effort from your own operation rather than assuming a supposedly universal conversion rate. This makes the next purchasing decision more meaningful.
Begin with an enquiry volume your team can support
Before starting, identify who contacts new people, which advisory topics your business handles and how many prepared appointments with follow-up are realistic. Then choose the appropriate ordering scope for Germany. webRichtung offers regional or nationwide enquiries, delivery options and a monthly cap. Standard enquiries reach no more than three providers, exclusive enquiries one. The cap is not a delivery guarantee, and exclusivity does not oblige a prospective client to enter a contract.
On the pension insurance page, review the enquiry information and register your business. You can then prepare a lead order and see the current price before committing. A clear preparation process makes that start concrete: every suitable enquiry has an adviser, an understandable conversation purpose and a manageable next step. Your team applies its expertise where a person has already expressed a retirement question they want to discuss personally.

Frequently asked questions
Do delivered enquiries include existing contracts?
No. The offer page says the form records whether documents exist but does not collect them. You agree the necessary preparation personally.
Does interest in private pension insurance establish a product choice?
No. It identifies a topic to explore. Objectives, needs and the basis for comparison require personal discussion.
What if documents are missing at the appointment?
Check which questions can still be addressed. Limit the appointment to that purpose and agree the missing preparation for the next step.
Are the example costs webRichtung prices?
No. The calculation uses hypothetical internal time and cost assumptions. The current enquiry price is shown before ordering.
