Longer holiday-home stays: offer interim cleaning clearly

As a host, clarify what cleaning during the stay is actually offered, which surfaces and linen it covers and how guests can plan for it.

A group wants to stay longer in your holiday home and asks about help with daily life. This creates a specific service decision for your offer: what cleaning actually happens during this stay, and what does the guest receive? An attractive property and described departure cleaning do not yet answer that question. Guests should be able to decide whether the offered scope suits their trip. You need a service your business can genuinely provide for this particular property and stay.

Start with the travellers’ desired routine. Do they want particular areas cleaned regularly, are they only asking about fresh linen, or do they want to know what equipment they can use themselves? These are different needs. First describe your existing offer and check additional wishes individually. This creates an understandable choice between included services, additional services offered and tasks your business does not undertake. The accommodation remains the starting point; a general service label does not replace specific scope.

Discuss cleaning during the stay separately

Ask which part of their routine guests want an additional service to cover. Perhaps it mainly concerns the bathroom, perhaps the whole apartment they booked. Let them describe the need before suggesting a visit or package. Trip duration alone does not determine what help this group wants. You gain a specific question to compare with your actual service offer.

Then explain the difference from cleaning after departure as actually described in your offer. A guest may infer a visit during the stay from the general term cleaning even though your offer concerns another time. Show both contents alongside each other. Name only services your business actually offers. If no interim cleaning is planned, describe the existing accommodation offer clearly and check an additional wish only according to your real capabilities.

Assign the scope to the right rooms

Describe which rooms and surfaces the offered interim cleaning covers. One specifically named bathroom and certain floor areas differ from the whole accommodation. Use the same room names as in the property description. Guests should recognise whether their desired area is included. Your team needs the same assignment, so later execution does not first have to be inferred from a broad message such as go through the house once.

Also clarify the boundary with travellers’ personal belongings. What preparation does the actual offered work require, and which things should remain untouched? Use your real procedure. Guests can organise their belongings accordingly and understand what the visit delivers. Agreed cleaning of particular surfaces is not automatically a tidying service for items brought along. Explain the distinction kindly through specific scope without assigning guests undefined additional effort.

Explain kitchen and used equipment individually

If the kitchen belongs to the desired service, name the work actually included. Does it concern particular external surfaces, another specifically described part, or is that service not offered? A broad clean the kitchen leaves open whether guests also mean used dishes, cupboard contents or another additional task. Your offer should show exactly the work your team prepares and accounts for in its real service.

The same applies to other equipment used. A terrace or another outside area does not automatically become part of scope through an interior cleaning visit. Ask about a wish actually expressed and assign the answer to the correct property. You need not invent a new service to provide useful advice. Clear existing services also let guests decide whether to choose the accommodation in this form or consider another option.

Describe linen changes as a separate service

Ask separately about bed linen and towels if the group wants help with them. Fresh linen supplied and an actual on-site changing service are different contributions. Name what your business genuinely provides for this stay and which actions are included. Guests should not have to infer from an extra set of towels whether somebody brings them into the property, leaves them at an agreed place or undertakes another service during a visit.

Also assign a confirmed bed-linen change specifically. Which booked sleeping places does it concern, and what procedure does your team offer? Use your actual terms and quantities. Do not derive an invented change schedule from a general length of stay. If guests want something different, check that scope with the responsible team. An open enquiry remains recognisable as such, while already confirmed parts can appear understandably in the offer.

Coordinate the visit with guest presence

Explain the time frame actually intended for the offered visit. Do guests want to remain in the property then, or are they planning an outing? Your business checks what its existing procedure permits. A guest wish initially remains a request. Describe only the confirmed arrangement as part of the stay. Guests can plan their day accordingly without inferring a freely reschedulable service from an initial conversation.

Also discuss which rooms are needed during the visit under your real procedure. Perhaps someone wants to read in another room, or part of the group returns later. Let the responsible guest team agree actual execution with the guest. Your sales team does not invent a general access rule. It ensures that the specific visit matches agreed scope and discussed presence wishes, and that an open question gets a reachable contact.

Clarify access through your existing procedure

Name how the people involved organise agreed access for this service. Use only the procedure actually intended for your accommodation. Describe the handling needed for the guest’s decision and the correct contact. Confidential access information belongs in your intended protected exchange, not general property advertising. This article establishes neither a particular key system nor new digital access as part of your offer.

For an agency-managed property, guest support needs the confirmed answer of the responsible provider. An agency should not promise a visit on the owner’s behalf whose scope has not been agreed. Record who confirms specific execution and whom a change goes to. Guests thereby experience an understandable contact route. Your internal team can pass on the same agreement instead of alternating different assumptions about presence, timing or access.

Distinguish self-use equipment from a staffed service

If you provide devices or materials for guests to use, describe actual inventory and intended use according to your existing information. A supplied vacuum cleaner is a different feature from a cleaning appointment performed by your team. Both can be interesting for a stay. Guests should recognise what they can use themselves and what service your business offers through a specifically described visit.

If someone asks about washing facilities, name the option actually belonging to the property or separately confirmed. A nearby external provider does not become your own laundry service through a reference. Check its information when making a specific recommendation and show its actual status. The real assignment is enough for your quotation: existing property equipment, confirmed own service or an external possibility to arrange separately.

Show services and terms for the same stay

Present cleaning scope together with the specifically offered stay. Which service is already included in your real quotation and which can guests select additionally? Use your business’s actual costs and terms. The wording service available does not yet answer its effect on the offer. Guests should understand the accommodation together with selected support before deciding on the described scope.

If another contractor offers the service separately, identify that distinction. The accommodation price does not silently become a confirmed total for an unknown third-party service. Equally, actually included interim cleaning should not appear only in an internal planning note. Use the same description in advice and booking documents. Have questions about the specific legal structure of agreements clarified professionally; this guide establishes no general contract model.

If the group compares several properties, place service scope on the same basis. An offer with a confirmed visit and another with only supplied equipment contain different support. Name that difference alongside respective rooms and costs. Guests can decide whether they need the staffed contribution or want to organise their stay themselves with existing equipment. The larger property is not automatically the option with more extensive service. What matters remains the actual service offered for this trip.

Compare a fictional wish with two service scopes

An expressly invented case illustrates the choice. A group wants a longer stay in a holiday apartment. It asks about a visit for bathroom and floors and about fresh towels. For this example, assume the provider can offer one described scope without a linen change and an actually confirmed addition with supplied towels. These assumptions belong to the case and assert no standard service of every holiday property.

The guest compares included rooms, linen service and each actual set of terms. If they also ask for freshly made beds, exactly that new wish is checked. It is not booked merely from the term cleaning. The example names no prices, fixed visit intervals or guaranteed results. It shows the specific decision about which support guests choose for their trip and what scope support staff genuinely prepare for it.

Relate later wishes to confirmed scope

If guest numbers or desired service change, start from the current quotation. What additional sleeping place, surface or visit is affected? Send the specific change to the responsible team. It checks real possibilities and costs. An earlier commitment remains assigned to the stay described then. Your team makes the effect visible before continuing with an old general service description.

Then discuss the confirmed new version with the guest. What is added, what stays unchanged and what question remains open? If only linen needs increase, the whole cleaning scope need not automatically be reinvented. Nevertheless, an additional wish must not silently appear already included. Clear assignment helps both sides: guests know their selected assistance, while the executing team receives the task actually agreed.

Make the agreement transferable to guest support

For handover, bring together the real property, confirmed areas, agreed visit and named additional services. The responsible person should recognise the task they undertake and what question is still missing before execution. Use existing records and contact routes. Additional software or asserted automatic service planning is not a promised service of this article. What matters is understandable transfer of the specific guest wish.

After the visit, clarify actual status with the responsible team. What agreed work was performed and what specific point still needs feedback? A friendly general message does not replace this assignment when a service remains open. Name the appropriate next step and responsible contact. Guests then know what the information concerns without repeating their entire original enquiry or expecting additional unagreed assistance.
