Follow up holiday home offers when travel plans change

Clarify changes to the group, dates and accommodation before revising your offer. A practical follow-up guide for holiday rental businesses in Germany.

Your holiday home offer is ready, but the travel group has not agreed yet. Someone may be joining, or a different arrival day is being considered. For landlords and agencies offering accommodation in Germany, useful follow-up now means understanding the change and preparing one clear next choice.

Identify what changed since the offer

Have the latest offer in front of you during the conversation. Ask which issue is holding up the decision. “We are still thinking” may mean one traveller is arranging leave, or that the room layout no longer suits the group. These answers require different work.

Record which wishes still apply. If only arrival is undecided, you do not need to restart the whole accommodation search. If party size changes, the previous selection may no longer have a valid basis. Record the agreed change so your team continues from the same information.

Clarify changes in a useful order

  • Travel group: How many people now need accommodation, and which previously discussed room requirements remain?
  • Dates: Which exact dates still apply? Discuss a shift only if the travellers are genuinely considering it.
  • Property: Does the offered house still fit, or is a particular feature missing? Name it before searching for alternatives.
  • Group discussion: Who still wants to discuss the new option, and what next exchange would help?

Treat a request for more thinking time as exactly that. A lack of reply confirms neither rejection nor agreement from the entire group.

Revise the selection as well as the message

Example: A second couple joins the original couple. The initial offer suited the previous occupancy, but the new group wants two separate bedrooms. Clarify the layout and dates first. Then check whether the original house or another property in your own inventory currently meets those wishes.

For an alternative, highlight the decisive difference: suitable bedrooms with a different arrival day, for example. State which offer version it replaces. If price or scope has changed, update the actual terms for the newly discussed stay.

If nothing suitable is available, say so clearly and ask only about an alternative the group would consider. Sending more property descriptions does not replace this clarification. Before making a new promise, check current availability and use only the confirmed status within your booking process.

Leave room for more holiday conversations

After the discussion, record the change being checked, who handles it and the agreed response. A covering colleague can then avoid restarting with the old party size. Allow time for revisions alongside new enquiries.

Frequently asked questions

Should I immediately send more properties?

First establish why the current selection no longer fits. Another property helps only when you know which requirement changed or remains unmet.

What if more people join the group?

Confirm the new party size and room arrangement during your conversation. Then review your actual options before reusing an existing offer.

Does earlier availability still apply?

Check your inventory again before issuing a revised offer. An earlier availability statement is not a reservation; explain only the status your business has actually confirmed.
