Heat pump quotes: turn open questions into next steps
Distinguish explanations, change requests and specialist questions after your heat pump quote so your team prepares the answer the customer needs.
After your heat pump consultation, a quote is ready, but the prospect comes back saying: “I still have questions.” Your heating business now has a distinct task: identify which answer is actually missing. An explanation of quoted scope, a request for additional work and an unresolved specialist question need different next steps. Making this distinction keeps quote handling manageable.

Connect the question to a part of the quote
Open the version the customer has. Ask them to identify the statement or service concerned. “What is included in the work on the existing heating system?” is a specific starting point. “The overall package is still unclear” needs another question before being passed to the specialist.
Explain documented services from your own quote in understandable language. If its scope is ambiguous, note the gap. Do not add a service simply because the customer assumes it is included. The conversation should lead to a quote both sides understand in the same way.
Three responses to three different concerns
Classify the question by the work it creates:
- Explain: An included service is described but not yet understood. The responsible person explains that precise scope.
- Assess a change: The customer wants an additional or different service. Your business considers a possible adjustment and explains its effects in the quote.
- Seek specialist clarification: An answer needs assessment by your specialist team. Record the question, the information needed and responsibility.
One concern may involve several steps. The sequence matters: first understand what is missing, then prepare the appropriate answer. A new total price alone explains neither the service nor the reason for a change.
Resolve a question about the existing heating system
Suppose the customer wants to know who handles the work on the existing heating system mentioned in the quote. Your colleague checks the service description. If a specific service from your business is included, they explain it using that item. If part remains open, they pass on exactly that part for clarification.
If the customer wants further work beyond this, record it as a new wish. After the response, your team clarifies what was already offered and what may now be offered additionally. The example concerns communication about your scope; your business assesses which work is technically necessary for the actual project.
Prepare the next contact around an answer
Finish with a short agreement: which question will be answered, who takes it on and when will the response follow? At the next contact, address this question first. Then check which decision the customer now wants to make. An answered point is not yet an order.

Frequently asked questions
When is explaining the existing quote enough?
When the question concerns a service already described and a responsible person can reliably explain its scope. If a service is not clearly described, that ambiguity must first be resolved.
How should I record an additional service?
Note the wish separately from the existing quote and have your business assess whether it can offer it. Explicitly explain any resulting change before expecting a decision on the new version.
What should I say while a specialist answer is pending?
Identify the open question, the responsible person and the next agreed response. If no result is available yet, communicate that position without anticipating the technical answer.
