A handover note in practice

Plot under consideration according to conversation; documents not yet received. Next meeting: explain the scope of our finish options. Planning sales prepares the services actually offered; first adviser checks the status of promised documents.”
The note confirms neither a plot’s suitability nor financing or a construction start. It provides a useful basis for discussion while keeping questions visible. This avoids “under consideration” accidentally becoming “resolved” as information changes hands.
Have the receiving person confirm the task internally. Tell the prospect who will lead the next discussion and what it will cover. At the start, the new adviser briefly summarises the known position and asks about changes.
Keep responsibility clear after the handover
If documents do not arrive, decide internally who handles the agreed follow-up. Two advisers should not independently request the same information. After the meeting, the person now responsible adds the outcome and next step.
