Prospect wants to read the documents; Thursday follow-up agreed to address the outstanding point.” Add the date of the document used. This provides enough context to continue the work without storing a complete private conversation.

If the questions are answered and the person wants to proceed, explain the actual next step for that product. If the need remains unclear, undertake a further focused clarification. If the offer does not fit, say so clearly. The status should follow what happened in the conversation rather than a desire to move the case to a more advanced sales stage.

In reporting, distinguish a reached contact, a relevant continuation and the commercially meaningful result. Sending information does not mean an account has been opened. An account opening is not automatically the event for which your business is paid. Your business model and actual agreements determine which outcome has economic value. Test fewer outcomes and more handling time

If enquiry costs remain €200 and handling costs €240, but only two commercially relevant outcomes materialise, contribution before acquisition is €300. After total acquisition costs of €440, the balance is minus €140. Three outcomes produce €450, leaving €10; four leave €160. Your team can see the difference between a result that only just covers these costs and one that meets the intended target. This is not a forecast. It shows which assumption makes the budget sensitive.

Test the time assumption separately. If handling takes eight hours instead of six, the same hourly rate produces €320 in handling costs. Four outcomes and €200 in enquiry costs then leave €80. To retain the original €160 target in this version, the 20 enquiries could cost only €120 altogether, or €6 each. More thorough conversations may justify extra time, but the decision needs an observed benefit. Additional hours should not simply disappear from the calculation.

Use completed observation periods with clear case statuses to assess the model. Fresh contacts with decisions pending are neither certain successes nor final losses. Keep them open and revisit them later. Their handling time already incurred still belongs in costs. This helps you distinguish an improvement supported by completed outcomes from an apparently promising pipeline that mainly consists of growing unresolved work.

Match new enquiries to the work your team can handle

Plan the next purchase around time available for responses, specialist clarification and agreed follow-ups. If the responsible person already has several product questions to resolve, adding more enquiries will not remove that bottleneck. Establish which cases can move forward and what information is missing.
