Before covering for a colleague, check what was actually promised. A telephone appointment does not tell you whether the person wants an introduction to your advisory process or an answer to an outstanding professional question. Read the latest conversation note and state the purpose of the next discussion in one sentence.
Separate the original enquiry from later statements. Age group, employment status and desired monthly benefit provide a starting point. A preference changed during a conversation needs a dated note. Passing it to a colleague does not turn the requested benefit into an assessed need.
Check four points before the next call
- Conversation goal: What does the person want to understand at the next appointment? Preserve the specific question instead of writing simply “disability advice”.
- Promise: What explanation or preparation did your business offer? Distinguish completed tasks from work still outstanding.
- Responsibility: Who conducts the conversation, who prepares it and who provides further cover if needed?
- Contact position: Which time and conversation channel were agreed? Check whether anyone has contacted the person since the handover.
The colleague taking over confirms internally that they accept the task. If an important organisational detail is missing, resolve it within the team first. This avoids making the prospect carry the burden of an incomplete internal transfer.
Resolve discrepancies before moving on
Example: The enquiry says “employed”, while a later note says “planning self-employment”. The covering adviser does not simply delete one statement. They record when the new information was given and prepare a follow-up question for the advisory meeting. This does not constitute an assessment of insurance cover.
Open the transferred appointment with a brief check: “My colleague noted that you wanted to understand our advisory process. Is that still your main question?” The person can correct the position without repeating every detail. If your team cannot keep the promised appointment, agree a new arrangement instead of silently changing the person conducting it.
