Finding an available appointment and bringing a presentation on workplace retirement provision is not enough. You need to understand why the company wants to talk now, who can provide which information and what should exist after the meeting. That preparation directs your advisory time towards a useful next business step.

Turn the enquiry into a concrete business question

If the immediate issue is recurring administration questions, a colleague who knows the everyday work may contribute more than a large group without relevant information. The first meeting remains workable while you prepare a realistic route to subsequent work rather than overlooking how the employer makes decisions.

Define the example before the appointment

In the following invented case, the enquiry states 50–249 employees, a review of an existing arrangement and a combined funding model. The company is located in Germany. During the preparatory call, the contact explains that she works in human resources. This role information comes from your conversation in the example, not from an additional enquiry field. You begin: “You would like to review the existing arrangement. What prompted the enquiry at this particular point?”

She replies: “New employees ask us similar questions, and internally we are not always sure who answers them. We want the process to be easier to understand.” The starting issue is therefore organisational. You summarise: “The first meeting should establish how information and questions are handled today and where responsibility needs to be clearer. You have not already decided to replace the existing arrangement.” She confirms and adds that a review of offers might possibly follow later.

During the call, she confirms a current workforce of 86 people. You record that as her statement with the conversation date, rather than treating it as the number of future participants. Which groups are already included and which employees should fall within the review remains open. For the first meeting, the task is simply to establish that scope together. A complete list of employee names is not the starting document you request for this organisational clarification.

You ask who knows the everyday process. The contact suggests a payroll colleague. Management wants a short description of possible next work after the first meeting and will then decide whether to commission it. That is the expressly hypothetical arrangement at this particular company, not a claim about every employer’s decision process. You confirm the two participants for the initial appointment and record the subsequent internal decision step so that your follow-up has a clear destination.

Complete a working brief with known and open points

Your preparation starts with a short task statement: “We will map the existing information and question-handling process for company pensions and identify a useful next review assignment.” This connects the reason for contact to an achievable result. It prevents you from automatically interpreting “review the existing arrangement” as a full market or product comparison. The participants can tell you beforehand if the question they want answered is actually different.

Next, describe the confirmed foundations in readable sentences: according to the contact, the business currently has 86 employees; provision exists; combined funding was selected as the direction to discuss; recurring questions and unclear responsibilities prompted the enquiry. State the open points equally clearly: the precise review scope, available documents and present process still need clarification together. Missing information does not become an assumption merely because doing so would make your presentation quicker to finish.

For preparation, ask for any existing general description of the process and examples of typical questions without unnecessary personal details. If no description exists, that is not a reason to reject the meeting. You can map the process together during the conversation. Existing agreements and other documents are discussed to the extent required for the particular next assignment. Do not promise a professional assessment of existing provision when you do not yet know its underlying arrangements.

The final part of your brief names participants, purpose, duration and expected result. In the example, an hour is agreed with human resources and payroll. The expected result is a confirmed account of today’s process, the main open questions and a proposal for further work. The brief also assigns responsibility for follow-up. Both sides can then check whether the appointment is prepared appropriately before investing additional time in material that may not serve its purpose.

Use the hour to produce an assessable next step

In the example, the first ten minutes confirm the reason and objective together. Ask whether anything has changed since the preparatory call. The next fifteen minutes describe the current process: where does a question begin, who receives it, who answers it and where does it remain unresolved? Both participants explain their actual work. Record differing accounts as something to clarify rather than prematurely writing down a supposedly shared process that neither has confirmed.

Spend another fifteen minutes on recurring questions and places where responsibility is unclear. In this invented case, both departments turn out to be waiting for an answer from the other. That is a finding within the example, not a claim about typical companies. Ask which information each needs to respond. Only then can you see whether the next work should prepare a clearer internal description, a specialist examination or a combination of the two.

During the following ten minutes, define the further work. The participants first want an understandable account of the existing process and a collection of questions requiring separate professional examination. A product comparison is not yet commissioned. Explain which part your practice can offer and which documents it needs beforehand. Legal or financial points that have not been examined remain explicitly open; a general promotional statement does not provide an answer to them.

The last ten minutes are for the summary. Ten plus fifteen plus fifteen plus ten plus ten totals sixty minutes. Confirm who will contribute each missing general document and when you will provide a description of a possible follow-up assignment. In the example, management intends to discuss this description internally the following week. That timing is a case assumption. Agree a response date afterwards without treating the internal discussion as an engagement already given.

After the appointment, send the summary actually agreed: the initial problem, confirmed process, open specialist questions and proposed further scope. Your practice initially records “employer meeting completed, follow-up assignment prepared for decision”. A number of future individual contracts does not belong in this status. If the employer requests additions, adjust the scope clearly and check whether the time plan still fits. Subsequent advice therefore remains connected to a specific assignment that the employer can understand and assess.

Include work after the initial meeting in your calculation

Acquisition planning needs the entire handling effort for an enquiry. In the following cost-only example, a practice allows twenty minutes for preparation, fifteen for the preliminary call, sixty for the employer meeting and twenty-five for follow-up. Together these are 120 minutes, or two hours. At an explicitly assumed internal cost of €65 an hour, labour costs €130. An equally assumed enquiry price of €80 brings initial handling to €210. These are not webRichtung prices.

Now consider five such enquiries in the example. Purchasing costs five times €80, or €400. Initial handling takes ten hours and costs €650, making €1,050 together. Two of the five cases then each require two and a half hours of agreed follow-up preparation. That adds five hours, or €325. The group therefore costs €1,375 in total. The calculation depends on the stated course of events and claims no general rate of progression to subsequent discussions.

Those costs stay assigned to the group even if a further engagement remains open or does not materialise. An agreed employer meeting is not remuneration already received. For a later commercial assessment, use actual attributable remuneration and the full associated work. Avoid multiplying workforce size by an assumed commission and presenting the result as the enquiry’s value. That would presume participation, contracts and remuneration all at once, before any of them had been established.

The same example reveals the capacity issue. Ten free hours cover initial handling of five cases but leave no room for the assumed five follow-up hours. With twenty hours allocated, fifteen planned working hours would leave five hours in reserve. A reserve is not another sold project. It accommodates questions or changes in the existing process. Also include ongoing engagements outside this example group in your real calendar, because their commitments still require time from the same team.

Align purchasing with workable employer meetings

Choose the area according to the conversations and support your team can actually provide. The purchasing description allows Germany nationwide or a German postcode with a radius of at least 50 kilometres. For personal visits, consider travel and preparation; for other agreed formats, consider the collaboration they require. The company location alone does not determine how you will work together in a particular case. Your practice makes that arrangement directly with the employer.

With standard delivery, no more than three providers receive the same enquiry; exclusive delivery sends it to one provider.
