Explaining workplace pensions: group information or personal advice?

Choose shared information, individual advice and actual follow-up to suit an employer’s workforce in Germany.

A workplace pension has been professionally prepared, but employees ask very different questions. Some want to understand what the employer offers; others need to discuss their own circumstances. Your advisory team can provide a specific service: explain shared foundations clearly and guide personal decisions into an appropriate advisory setting. Separating these tasks lets the employer commission the right scope and inform its workforce purposefully.

Choose according to the information needed

Ask what employees should understand afterwards. Should they be able to identify the existing employer contribution, know how to request personal information or understand a new arrangement already professionally developed? These aims differ. A general retirement presentation does not automatically explain the company’s actual offer or how to reach the right contact.

First collect existing questions without unnecessary personal details. Ask HR to summarise recurring themes instead of circulating individual contract files. “What does our employer pay?” becomes a shared explanation topic. “What does my old contract mean for me?” belongs in an individual discussion. The substance of the questions shows what can be explained together and where personal information is needed.

Then present the choice to the employer. Shared information can explain the common foundations for the group concerned. Personal advice can address individual situations and questions. A combination can connect both where appropriate. You need not always offer the largest package. Each agreed format should answer a specific question with the necessary professional basis.

Keep shared information tied to the actual arrangement

Use the company’s current documents assessed for the project. Explain the contribution logic, employee group and agreed process actually envisaged. Resolve contradictions between documents before using them. A polished presentation cannot make inconsistent foundations consistent. The employer needs information reflecting the same position as its actual pension arrangement.

Explain contribution sources using the same terms as the assessed rules. Under section 1 BetrAVG, salary conversion turns future remuneration entitlements into pension entitlements of equivalent value. Keep that contribution distinguishable from an independent employer payment. The company’s actual design determines its components. Avoid a generic diagram showing different payment flows from the model being explained.

Show the practical next step too. Where can employees obtain the information intended for them? How do they arrange a personal appointment? Who handles general organisational questions? Name only genuinely agreed contacts and channels. A clearly explained route is more useful than “contact us with questions”. Employees then know how to pursue their next question appropriately.

Allocate personal information and individual advice

Section 4a BetrAVG provides, at the employee’s request, for information including how an entitlement is acquired, the accrued claim and projected provision. It names the employer or pension provider. A general employee event does not explain these personal values. Where such information is requested, make clear which responsible party handles it through the agreed route. Your advisory package must preserve that responsibility.

Personal advice and the statutory information task are not simply two labels for the same work. An advisory commission may include specified questions and services; a particular information request has its own content and responsible recipient. Establish what the employee needs and allocate it appropriately. They can then receive a relevant answer instead of being sent between a general presentation and an undefined advisory promise.

The information required for personal calculations is clarified separately in each case. A fictional model employee used in shared information does not represent every attendee’s situation. Identify the expressly fictional assumptions and explain the precise relationship illustrated. If a personal question goes further, move it to the agreed individual setting. This preserves the shared session’s clear focus.

Take general questions publicly and personal cases separately

Agree how general questions will be collected during a shared event. For example, collect questions about the explained funding logic and answer from the approved foundations. If an individual contract arises, offer the designated personal route. Nobody needs to disclose private contract details to the group for an organisational next step to be possible. A brief direction to the appropriate contact is enough.

Afterwards, request thematic feedback rather than unnecessary personal lists. “The employer payment’s start remains unclear” may be a useful general question. Health information, private family circumstances and complete individual contracts do not belong in a shared event list. If a particular advisory commission genuinely needs such information, clarify its necessary extent and an appropriate protected transfer method separately. The group information stays focused on its common task.

If a question cannot yet be answered, identify the particular missing basis. A company document may need clarification, or the question may belong to a personal information request. Allocate further handling and agree a response trigger. Do not invent an answer merely to close the presentation without open issues. Traceable referral is more useful than a quick statement without an appropriate foundation.

Fit the format to working life

Ask how employees can actually access the information. Are there shifts, several locations or people without regular access to a shared computer? Suitable organisational options may include repeated sessions, agreed written information or additional personal appointments. Offer only formats your team can deliver. The employer can then choose an accessible route, rather than merely a presentation with many slides.

Clarify each option’s intended result. Repeating a session can provide the same content across working hours. Written information can record the assessed foundations and contacts. A personal appointment can address an individual question. These differences support a useful service comparison. They do not require every company to use every format or mean one format alone fully prepares an individual decision.

Pay attention to language. Ask which terms or phrases have caused questions. Explain them through the actual model and request preparatory feedback on whether the allocation is understandable. Any planned translations must convey the same assessed content. Another language does not create different benefits or entitlement conditions. Agree only qualified work actually available for this purpose.

A fictional company chooses a combination

The following case and organisational assumptions are expressly fictional.

An employer has a professionally prepared description of its pension offer. HR receives general questions about employer contributions and personal questions about existing contracts. Some employees work shifts. Management wants shared information to convey the same foundations to all employees addressed, while personal contract questions stay out of a large group. Your offer therefore separates the shared explanation from individual appointments.

The fictional company chooses two sessions with the same content at different working times, followed by an agreed route for personal questions. The common handout explains the actual intended contribution and confirmed contacts. An existing calculation example is used only if its expressly fictional assumptions match the relationship being explained. The sessions make the same content accessible; attendance is not treated as consent to a contract.

Afterwards, HR reports a general question about when payments begin. Your team relates it to the assessed company model and prepares the relevant explanation. Individual requests go to their respective responsible parties. Management can then decide whether shared information needs supplementing or the agreed personal route is sufficient. The decision follows actual open questions, not an invented attendance or conversion rate.

Describe the complete information commission

For repeated sessions, clarify how new general questions are handled. If an explanation is added after the first session, the second group should receive the same confirmed information position. Check whether the first group needs that addition too and agree an actual follow-up channel. The sessions remain comparable in content. A different audience alone does not create a new professional position; the explained and traceable document version determines it.

Your offer identifies content, employee group, format and included follow-up. It also names the assessed document underlying shared information. If an existing rule still requires substantive clarification, show that task separately. The employer can distinguish explaining an already prepared arrangement from commissioning additional specialist work. Both services need a clear scope.

For changes, agree who confirms the new professional position and which materials are affected. If the contribution description changes, an older handout must not silently remain current. Identify the version used and its session. This is a recommendation for your own collaboration. The employer can track what employees received and which addition may still need communicating.

Finally, provide an overview of general topics covered and allocated open issues, without unnecessary personal case details. The next service can then be chosen specifically: add a general explanation, offer another accessible session or handle a personal question through the agreed route. Your team demonstrates understandable introduction and focused support whose scope the employer can genuinely assess and commission.
