Business move: carry appointments and orders forward

Check existing appointments, delivery locations and open documents before a move so customers know where and how their work continues.

Your business is moving while customer work continues. A prospect already has a consultation appointment, a customer awaits a delivery and quotations with the old address remain in the office. These people need their business with you to continue reliably. A relocation announcement explains the new location. Existing commitments also need their own review so nobody turns up at the wrong place using an old document or mistakes an unconfirmed change for an agreement.

Start with the actual cases around the move. Which appointments really depend on the old premises, which orders need fresh coordination and which information remains correct? You do not need to reorganise every customer contact. A manageable review of affected commitments helps your team confirm, change or ask specifically. The move becomes a limited coordination task for ongoing work.

Describe the actual location change

Record which part of the business is moving and which planning information is confirmed. The office and consultations may move together while another working location remains. New premises may only be used from an intended date. A precise description matters more than a general new-address note. Your team needs a basis for deciding which commitment is affected by which change.

Separate the start of use from other moving dates. Moving furniture, having a workstation available and holding the first customer appointment may have different planning statuses. Use only confirmed details. Identify any missing prerequisite and its responsible person. A planned move-in should not be described as premises already cleared for every customer service.

Distinguish appointments by location

Review existing appointments in the relevant period. A visit to a customer has a different location link from a consultation on your premises. An online conversation may be independent of the new address but still needs available people and working equipment. Classify each affected appointment by its actual needs. A general address change does not establish where the agreed service can take place.

For appointments at the old business premises, record the information customers already received. Is the location in a message, booking confirmation or supplied document? Your team needs to know which version customers are likely to use. An internally changed calendar address does not automatically replace their information. Decide whether to confirm the appointment unchanged, adjust it with the customer or clarify it personally first.

Define the transition period consciously

Choose the period in which the location change can actually affect existing commitments. Start with appointments and open orders already agreed within it. Expand the review if confirmed plans change. You do not need to record all past customer cases again. The overview should identify work that now requires a location decision.

Include agreed preparations before appointments. A customer may intend to send documents to the old premises or drop something off beforehand. Check whether that route remains available during transition. If it changes, coordinate that within the same case. The customer then receives a coherent process rather than a correct appointment address combined with preparation that is no longer clarified.

Decide whether to confirm, change or ask

Give each affected case a specific next action. An appointment that remains feasible can be expressly confirmed at its correct location. A required move needs appropriate agreement. Where a prerequisite is open, the responsible employee asks the specific question. This distinction helps more than one general relocation task that leaves individual customer statuses unclear.

Record who responds and the result expected. A sent message does not always mean a changed location has been clarified. What actually needs agreement for that appointment matters. If a reply is missing, keep it visible. Your office can prepare the next useful contact instead of overwriting the old calendar entry and losing the unresolved customer decision.

Guide customers through the new situation

Write the response around the recipient’s concern. Which existing appointment is involved, what location is confirmed and what might the customer need to decide? State the necessary details clearly. Describe arrival or access only from checked information. Invented parking, lift or accessible-entrance advice would be unhelpful even in a well-intentioned moving notice.

Check whether customers can keep using the previous document or what new information they need. A clear reference to the appointment helps identification. They do not need a detailed account of your internal moving work. They should see how their matter continues and whom to contact about an open question. A changed location should not be hidden among general business news.

Connect new bookings with existing commitments

While your team reviews old appointments, new requests may arrive. Clarify which appointments you can actually offer during transition and at the new premises. Opening new availability must match available employees and confirmed conditions. A free calendar slot alone does not show whether the particular consultation or service can take place in the new rooms that day.

Check the booking process from a customer’s perspective. What location information appears for a new booking and which documents are linked? Compare the result with confirmed plans. If your existing system cannot present different details appropriately, that specific case needs a clear existing alternative. Do not promise automatic retrospective changes to every old booking confirmation unless actually checked and provided for.

Review deliveries and collections separately

An open order may involve delivery or collection without an ordinary consultation appointment in the calendar. Ask about these cases through your existing process. Which confirmed delivery address does the other party have and who can receive the shipment at the intended place? A new postal address is not automatically the right location for every particular movement of goods.

Agree a necessary change with the actual contact. Record the confirmed state with the order so the office and goods reception use the same information. If a reply is outstanding, the case stays open. Avoid treating an address entered only internally as a change already agreed with a supplier. What matters is an executable link between shipment, correct location and responsible recipient.

Continue open quotations and documents correctly

For current quotations, check whether customers could derive a now-incorrect next action from existing details. They may intend to visit a showroom or collect samples from the old premises. That needs specific clarification. An offer with no affected location link need not be discussed entirely again just because of the move. Base the work on the actual effect on the customer’s next step.

If you supply an updated document, identify the new version and its connection to the previous one. The team should see whether only contact information or the offered process changed. Responsible people examine legal document details and contractual consequences. Organisational preparation does not derive a general rule that every existing document must automatically be replaced. You need a clear current state for the specific case.

Distribute work between old and new premises

Clarify where necessary tools and current information will be available during transition. An employee can take over a customer appointment well only if they can find the right document and know the confirmed location agreement. Your existing shared records should therefore carry the current case. Personal moving notes without a customer-work connection offer little help to a substitute.

Distinguish a temporary workplace from information customers should receive. Someone may process tasks at another desk without changing the agreed customer location. Record only the deviation relevant to the case. Your team does not need to communicate every internal movement. It does need a responsible contact if an actual limitation affects the service promised or confirmed contact route.

Handle transition questions specifically

If a customer still mentions the old address, start with their actual intention. Which appointment or handover do they want to attend? Compare their information with the current agreement. The answer may be simple clarification or fresh coordination. Do not assume they ignored a message. A document still in use may refer to the old location.

Return a confirmed cause to the responsible area. An old template can be corrected specifically. A missing response for one appointment needs another step. This assignment prevents repeated explanations while the information gap remains. Already correct independent contact points need not be revisited without cause. What matters is that the customer concerned now receives usable information.

Check the first working day practically

Walk through the actual route for an upcoming customer contact. Is the visible location correct, is the intended employee reachable and is the right document ready? Also check contact options promised in your own offer. A formally updated address does not prove the actual customer process works. The small check should concern the next real case rather than an arbitrary technical inspection of the whole business.

Record gaps with an assigned next action. If a prerequisite is missing, inform the customer appropriately and agree a possible alternative. Do not claim a confirmed process before clarification. Your team then connects the organisational switch with the work actually due, without using an optimistic general announcement to portray unfinished premises as fully ready.

Finish the review with a clear status

Affected appointments, deliveries and open documents should end with an understandable location decision. Which commitments stand, which were confirmed as changed and which await a specific answer? Connect outstanding points with responsibility and the reason for the next response. A sent moving notice is a communication step. A sound conclusion means current customer cases can continue with their correct status.

Retain specific confirmed learning in existing preparation. Which appointment type was initially overlooked, which template sent someone to the wrong address and which check helped? These lessons improve a later move or location change. You need no new administrative interface. A clear case status and short process actually used are enough when your team can handle the next commitment reliably with them.

Prepare your appointment process appropriately

webRichtung calendar connects appointment management and public booking; webRichtung core maintains the context with contacts and tasks. Check your move using an actual open appointment. Through the existing contact route, describe the process you want to represent with the platform. This does not promise automatic changes to external systems or every document already sent.
