Pass on the concern as a question

Check the current position before the consultation

When an appointment moves, transfer more than the time. Preserve its purpose and check whether new questions have arisen. Preparation is then retained when a different person accompanies the new appointment.

The clinical team might begin: “You want to discuss your expectations about the gap. Reception explained today’s appointment process. Is that still your main question?” This allows corrections and demonstrates that the team works together.

If a new organisational question arises, assign it an owner. For example, the person may want to know whom to contact about appointments after the conversation. An answered clinical question and an outstanding organisational task can remain visible alongside each other.
