After a good first contact, a company wants to know how your payroll service would fit its everyday work. Your team needs a working discussion with the right people. Build the discussion around a monthly process

Workforce size, current organisation and preferred start from the enquiry provide an introduction. For the review, add another perspective: how does a monthly change travel from the business to the person collecting information for payroll? Ask the customer to explain that route through a typical, generally described event.

If it remains unclear who compiles the second site’s information, assign that specific question to a contact. “Process still open” would be too vague for quote preparation. Record which information was only assumed and which the responsible person actually confirmed.

Read the summary back during the discussion. The customer should recognise where their internal task ends and which support they want your office to assess. A correction now is more useful than two different understandings of the service description.

Give the payroll team a usable position

Your meeting note connects the described process, the requested change and the remaining question. Pass it to the person assessing your proposed service scope. Agree which answer you need next and who will contact the customer about it.
