Follow up purchased leads: turn a request into a clear consultation

A complete conversation and follow-up plan connects callbacks, consultations, quotation questions and the outcome of each enquiry.

A purchased enquiry opens a conversation but does not arrange a consultation by itself. Progress happens when your sales team picks up the stated need and agrees a specific, useful continuation with the prospect. You do not need a rigid call count or a promise that persistent follow-up inevitably produces an order. You need an understandable conversation plan and someone who carries it forward reliably.

This article addresses the business handling enquiries. It develops a complete hypothetical sequence from first contact attempt to consultation, then shows how to use the results in your next purchase. All conversation times and case counts are examples. The suggested questions are your advisory work, not additional lead fields that webRichtung is claimed to supply.

Start with the need that was actually submitted

Before contacting the person, read what they actually requested. webRichtung describes delivery of contact details and the stated need. The relevant industry page in the lead offering explains which additional details are available. Use those details as a basis for conversation. Do not silently fill gaps with assumptions about budget, urgency or a purchase decision.

A specific reference helps the prospect understand why your company is calling. Introduce yourself, your business and the reason for contact. Then ask whether a brief exchange is convenient. This connects the call with an existing need and lets the person help determine the timing. A long company presentation before that check uses time before you know whether they have any available.

In our continuing example, someone has enquired about replacing an existing front door. The specialist company provides that service. We assume nothing more at the start. Exact measurements, a fixed budget and an already agreed visit are not treated as supplied information. The sales team must first discover which decision is pending and what consultation would help with it.

Record reachability without a premature judgement

Distinguish a contact attempt, a reached prospect and an agreed consultation. An unanswered call does not prove a lack of interest. A short exchange at an inconvenient moment does not prove that advice has already been delivered. If all three events receive the same status, a covering colleague cannot see which work is actually outstanding.

Note the time, observed result and next responsible person. “Not reached, first attempt on Monday at 9:20” is understandable. “Bad lead” is a judgement without sufficient basis. When a callback has been agreed, record its time. “Try again” is less useful because neither the reason nor responsibility for the continuation is clear to the next person.

For people you have not reached, use a bounded internal follow-up plan suited to your contact route and the situation. This article specifies no universal number or frequency. Prevent several employees from independently contacting the same person, and do not treat an expressed refusal as an invitation to keep trying. The purpose is a useful connection, not the largest possible activity count.

Keep observation separate from speculation. If a number does not work during an attempt, record that exact result and check the available details. Do not assert an unverified cause. If the person later requests another time, that specific agreement replaces the earlier general reminder. The working record then remains understandable to a colleague who was not present for the exchange.

The opening conversation: reason and suitable timing

In the hypothetical sequence, the first call on Monday at 9:20 is unanswered. The responsible employee records this. Another attempt provided for in the business’s own work plan succeeds on Monday at 15:10. These times do not recommend an optimal contact frequency. They simply form the case through which the record and next agreement become concrete.

The employee begins: “Hello, I’m the person handling your enquiry at our specialist company. You asked about replacing your front door. Is now a convenient time to briefly discuss your next step?” In a real conversation, she gives her actual name and company name. The wording demonstrates the sequence, rather than supplying an anonymous script to read unchanged.

The prospect replies: “Not really, I’m on the move. I first want to know how to get a useful quotation.” That provides a specific purpose for continuing. The employee responds: “Then let’s first establish what information we need for a quotation and which parts of the replacement we handle. When would a short callback about that suit you?” She does not launch into detailed advice while the person is travelling.

The person chooses Tuesday at 16:00. The employee confirms: “I’ll call you on Tuesday at 16:00 on this number. We’ll discuss what still needs clarifying for your quotation.” Her record now contains the reason, stated objective, agreed callback and owner. The result is a scheduled callback. It is not yet counted as completed advice or as a finished order.

Turn the callback into an appointment with a useful purpose

On Tuesday at 16:00, the employee resumes the agreement: “We planned to establish how you can get a suitable quotation for replacing the door. Is that still your next step?” The prospect confirms and adds that the main question is which work the quotation would include. She now has a more precise question, rather than continuing a generic sales presentation.

She asks: “Would you first like to understand the scope and process, or discuss a particular design already?” The person wants to understand the scope first. The employee explains that a consultation can cover the company’s offered work and the information still required. She does not claim a final price without the company’s necessary basis or promise a technical judgement without the required assessment.

The appointment’s benefit becomes concrete: “We’ll allow 25 minutes for the consultation. Afterwards, you should understand the scope we offer and what we still need for a reliable quotation. Would Thursday at 10:00 or Friday at 14:00 suit you?” The 25 minutes is a freely chosen planning assumption for this business, not a webRichtung service. In practice, offer only time your team can actually provide.

The prospect chooses Thursday at 10:00 for a telephone appointment. The employee confirms timing, contact method and purpose: “We’ll speak by phone on Thursday at 10:00 about the offered scope and the next information needed for your quotation.” If others help decide the project and the prospect considers their participation useful, they can join. An unknown decision structure is not assumed to be a supplied lead detail.

Connect questions with the eventual quotation

Preparation should serve the agreed purpose. In the example, the prospect offers to send a photograph of the existing door beforehand. The employee agrees the contact method the company actually uses and explains that the image supports initial orientation. She identifies the question it will help prepare, without treating it as full measurements or a substitute for necessary professional assessment.

If the promised information does not arrive in time, assess the next step concretely. Can the consultation about scope still be useful? In this example, yes: the business can explain its process and identify missing foundations. The appointment therefore does not automatically need to be cancelled. If particular information is essential to the discussion, clarify the need with the person and agree another time if appropriate.

On Thursday, the consultation starts with a brief reminder: “Today we’re discussing which work we offer and which details are still missing for your quotation.” The specialist explains the company’s actual scope and answers the prospect’s questions. At the end, they summarise the available information, what still needs assessment and the next step both sides want. Initially, the consultation’s useful outcome is that clarified continuation.

One possible result is agreement on a further on-site assessment before a concrete quotation is prepared. Another is discovering that the person wants only a component the company does not supply separately. Record either result accurately. A booked appointment is not automatically a suitable offer, and a conversation that took place is not automatically an order. Each stage needs its own meaning in the working record.

Use a short handover note for every enquiry

A useful note connects the starting situation, latest contact and next action. For our case, a short paragraph could read: “Enquiry about front door replacement. Prospect wants to understand scope before a quotation. Not reached Monday 9:20; Monday 15:10 agreed callback for Tuesday 16:00. Tuesday confirmed objective and booked telephone consultation for Thursday 10:00. Handling employee owns follow-up; specialist prepares scope and missing quotation information.”

After the consultation, add: “Consultation completed. Scope explained; further assessment requested before quotation. Its appointment remains open and is to be arranged by the responsible employee.” A covering colleague can now see that the consultation is complete but further work remains. They do not accidentally restart initial contact or tell the prospect a quotation is already finished when it is not.

This working template is a suggestion for your existing documentation. It does not promise an automatically generated transcript, a conversation recording or an additional software function with lead purchasing. Write the information needed for the next business action concisely. A long retelling of every sentence does not improve handover if the actual agreed next step becomes hard to find.

If the person does not want another conversation, record that outcome and end further contact planning accordingly. If they explicitly request a later time, keep the case open with that reason and timing. Both differ from a person who has not been reached. Separating them avoids unnecessary work and supports a respectful response to the decision the prospect actually made.

Evaluate the enquiry group for your next purchase

Review a clearly bounded group rather than just counting call attempts. In another hypothetical example, twelve enquiries have been handled. Three have a consultation booked, two await requested information, four people have not been reached, two projects fall outside the service scope, and one person wants no continuation. These statuses total twelve and do not overlap in this snapshot.

Of the three booked consultations, two have taken place and one is still in the future. You should therefore report neither three completed consultations nor three won orders. This distinction reveals open work. Information cases need a substantive continuation. Keep advisory time available for the future appointment, and review unreached people against your own bounded follow-up plan. None should disappear behind the appointment total.

Suppose contact and follow-up for the entire group have so far taken 180 active minutes. Preparation for the three booked consultations took another 20 minutes each, 60 minutes in total. The recorded amount at this point is 240 minutes, or four hours. This calculation excludes the duration of the completed consultations. It describes a bounded preparation effort and must not be presented as complete sales effort per win.

For the next lead order, causes matter more than a general “good” or “bad” label. If two unsuitable projects lie outside your offered service, examine the connection with industry choice and your service description. If four callbacks have not been meaningfully handled because of internal time pressure, first adjust coverage or purchase volume. The notes provide concrete starting points for that decision instead of unsupported assumptions about quality.

Fit new enquiries around work already in progress

New deliveries meet the work that remains open.
