The broker briefly explains the proposed process and offers an actually available appointment, such as Tuesday at 10 a.m. or Thursday at 4 p.m. These times are examples; real suggestions follow your actual availability.

After the person chooses, confirm the time, communication method and goal: “We will speak by telephone on Thursday at 4 p.m. about your starting situation and the next useful points to clarify.” Record the preparation you agreed and who should be informed if arrangements change. These questions and agreements arise in your conversation; they are not claimed additional fields in the supplied enquiry.

If the person does not yet want an appointment, agree an appropriate next approach instead of assuming consent. An unresolved request for information is not a booked consultation. Keeping this distinction clear makes later evaluation useful and protects advisory time from appointments that only your internal record treats as agreed.

Compare two hypothetical models in full

Both cost models use 20 enquiries and the same illustrative internal cost rate of 60 euros per hour. Model A represents a hypothetical trial with standard delivery. Its assumed purchase price is 70 euros per enquiry, giving 1,400 euros. Handling the complete group takes 18 hours in the example, valued at 1,080 euros.

The acquisition cost being measured in Model A is therefore 2,480 euros: 1,400 for purchasing and 1,080 for handling. At the end of the chosen evaluation period, two actual completed sales are recorded from this group. Dividing by two gives 1,240 euros per sale. Open cases are not counted as additional completed sales.

Model B represents a hypothetical trial with exclusive delivery. Assume 110 euros per enquiry, or 2,200 euros for 20. The team spends a total of 22 hours handling this group, valued at 1,320 euros. The measured total is 3,520 euros. In the example, four actual sales result, giving acquisition costs of 880 euros per sale.

The assumed purchase in Model B costs 800 euros more, and total handling costs 240 euros more. Together, that is an additional 1,040 euros. Nevertheless, the calculated cost per sale is 360 euros lower because this scenario assumes four sales instead of two. The result demonstrates the calculation. It does not establish that exclusive delivery caused an improvement.

The 22 hours are not a general recommendation to make consultations longer. A real enquiry group may require more or less work. Count the full time invested and provide an appropriate service. These cost models say nothing about which policy a person should choose or the remuneration your business will earn from a sale.

Test the sensitive part of the calculation

The number of completed sales changes the result substantially. With Model B’s total held at 3,520 euros, two sales cost 1,760 euros each. Three sales produce approximately 1,173.33 euros per sale. Four retain the 880-euro result. Costs are deliberately held constant here to isolate the effect of the outcome; real handling time can change as cases progress.

Against Model A’s 1,240 euros per sale, Model B needs at least three sales under these exact assumptions to have a lower unit cost. The calculation is 3,520 divided by 1,240, approximately 2.84. Because only whole completed sales count, the next sufficient number is three. This is a scenario threshold, not an expected conversion rate.

With zero sales, you cannot calculate a meaningful finite cost “per sale”. The acquisition spending remains an expense without a customer gained. A lower cost per sale alone also does not establish adequate profitability: revenue and the other costs of your actual business must fit. Use your own traceable figures for that assessment rather than treating the illustrative cost comparison as a complete profit forecast.

Also consider capacity when costs look attractive. One model can look promising on paper and still require more advisory hours than are currently available. A smaller, manageable volume is then a better trial basis. Time reserved for existing clients cannot also be allocated to new enquiries simply because the new business looks economically interesting.

Keep each enquiry in the trial with its handling state. Distinguish whether contact was made, an appointment agreed, a conversation held and an actual sale completed. Include open cases and cases closed without a sale. These distinctions form a recommended working overview for your sales team; they are not claims about automatically supplied reporting features.

Assign costs and outcomes to the same enquiry group. Sales from older contacts must not improve the apparent results of a new purchase. Open cases remain visibly open until their state can sensibly be evaluated. Choose a review period that fits your consultation process instead of issuing a final judgement on a new group after only a few days.

Consider differences in discussion priority and available service as well. If the team offered substantially more appointments to one group, the difference cannot be attributed solely to delivery type. Use the review to identify concrete changes: better preparation, clearer appointment agreements or a more suitable volume.
